About the Job

Blackbird is seeking a Part-Time Experiential Program Manager (25 hours a week contract) to execute and support our national experiential programming.

This role sits on the Loyalty team and reports to the Head of Blackbird Club & Experiential Marketing. You will coordinate and help execute Blackbird’s experiential initiatives, including VIP Club Member Nights, ticketed events, recurring dining club programs, luxury partnerships (including Mercedes and Noma), and sponsored B2B/B2C productions.

This is a highly tactical role (approximately 90% execution, 10% strategy). You thrive in production timelines, vendor coordination, material management, and on-site execution. You understand that hospitality lives in the details — and that no detail is too small to get right.

NYC-based (hybrid, ~2 days/week in office). Required on-site presence for NYC events. Occasional nights and weekends required. Travel opportunities may arise but are not required.

Deliverables Include

  • Own execution of NYC events including intimate cocktail gatherings for our top Members and buyouts with restaurants as a part of our Burger dining club.

  • Support production of ticketed and sponsored experiential events

  • Build and manage run-of-show documents, timelines, and production schedules

  • Oversee print and physical materials (menus, signage, gifting, branded collateral)

  • Confidently make design requests and provide clear feedback to designers

  • Source vendors, collect and compare quotes, and present organized recommendations

  • Assist with light negotiation and manage vendor coordination

  • Track contracts, shipments, deliveries, and production timelines

  • Ensure all materials arrive on time and meet brand standards

  • Serve as on-site execution lead for smaller events, and execution support for larger events.

  • Manage guest check-in, partner coordination, and real-time problem-solving

  • Represent Blackbird confidently in luxury hospitality environments and with VVIP members

  • Track event-related receipts and line items

  • Assist with post-event recap reports and operational learnings

  • Manage the event inbox and support guest communications

  • Help refine repeatable experiential systems that scale nationally

Requirements

  • 2–4 years of experience in event production, experiential marketing, hospitality operations, or related fields

  • Hands-on experience producing events

  • Hospitality or restaurant experience strongly preferred

  • Experience sourcing vendors, pulling quotes, and managing production timelines

  • Experience executing events on-site and working directly with guests

  • Comfortable engaging with VVIP members in luxury environments

  • Exceptional organization and follow-through — you confirm the shipment, close the loop, and track the details

  • Confident providing creative direction and feedback to designers

  • Strong written communication skills

  • NYC-based with availability for on-site monthly events and occasional nights/weekends

  • Proactive, detail-obsessed, and comfortable operating in a fast-paced startup environment

Nice to Haves

  • Experience working with luxury brand partnerships

  • Familiarity with loyalty or membership-driven programs

  • Experience managing projects end-to-end from planning through execution

  • Interest in building scalable experiential systems and playbooks

Pay Transparency Notice & Benefits

Depending on your work location and experience the target hourly wage for this position will be: $35 hourly USD. Disclosure in accordance with New York City's Pay Transparency Law.
